Terms of Service & Billing Policy

These Terms govern the use of our AI Voice Assistant services, including website voice chat and phone-based automation.

1. Services Provided

We provide AI-powered voice assistants designed to answer questions, capture leads, and assist with appointment booking for your business.

2. Monthly Subscription Plans

All plans are billed monthly unless otherwise specified. Each plan includes a set number of voice minutes.

  • Unused minutes do not roll over.
  • Additional usage is billed at the current overage rate.
  • Monthly invoices include usage details for transparency and tracking.

3. Billing Cycle & Payment Terms

Monthly invoices are issued on the 23rd of each month and are due by the 1st of the following month.

  • Accounts with unpaid balances are considered past due after the 1st.
  • Services will be suspended on the 5th of the month if payment is not received.
  • A $35 reinstatement fee will apply to restore service after suspension.
  • We reserve the right to adjust billing dates with prior notice.

4. Overage Usage

Usage beyond your plan limit is billed at $0.75 per minute.

5. Setup Fees

  • Website Voice Chat Widget Setup: $199
  • Phone Voice Assistant Setup: $299

Setup includes customization, configuration, and integration into your business systems.

6. Annual Plans

Annual plans require full prepayment. Setup fees may be waived as part of a promotional offer.

7. Cancellation Policy

Monthly Plans

Monthly subscriptions require a 30-day written cancellation notice. Service and billing will continue during the notice period.

Annual Plans

Annual plans may be canceled prior to the end of the term. If canceled early:

  • Unused time may be eligible for a prorated refund.
  • Any waived setup fees will be deducted from the remaining balance prior to refund.

Cancellation Method

All cancellations must be submitted in writing via email or postal mail. Phone cancellations are not accepted.

8. Data Storage & Retention

Call recordings, transcripts, and related data may be stored on secure systems, including third-party platforms.

  • Recordings, transcripts, and related data are typically retained for up to 30 days.
  • Data may be deleted after this period unless required for legal, operational, or compliance purposes.

9. Intellectual Property

All AI configurations, prompts, workflows, and system setups created as part of this service remain the exclusive property of the service provider.

  • Clients are granted a limited, non-transferable license to use the service.
  • Clients do not own the underlying AI prompts, logic, or system configurations.
  • These elements may not be copied, replicated, or transferred without written permission.

10. Service Availability

We strive to maintain reliable service but do not guarantee uninterrupted availability. Service may be affected by maintenance, updates, or third-party providers.

11. Limitation of Liability

We are not liable for indirect, incidental, or consequential damages, including lost revenue or missed opportunities resulting from service use or interruptions.

12. No Guarantee of Results

While our services are designed to improve responsiveness and lead capture, we do not guarantee specific business results, leads, or revenue outcomes.

13. Modifications

We reserve the right to update pricing, services, or these Terms at any time. Clients will be notified of material changes when applicable.

14. Acceptance

By using our services, you agree to these Terms of Service and Billing Policies.
